Project Background

Our tech client hosts a must-attend annual event for IT and security professionals across EMEA.

The forum aims to establish the client as the leader in Europe for Customer Identity and Zero Trust. Sleek partnered with the client to transition this event into a virtual experience that was engaging for their community but also to help build an event for their audience to navigate the needs and challenges within the community.

Wanting to produce a live, virtual conference, Sleek’s event experts provided support by sourcing and researching event platforms to suit the client’s requirements, managed suppliers for content production and editing along with managing speakers and sponsors. 

The event had the objective to reach 1,500 registrations with 500 attending the live event and 250 to access post-event, on-demand content, along with attendee engagement goals to achieve the ROI for the event.

The Sleek Approach

Producing a live virtual event comes with risks when it comes to platforms, speakers and content.

Sleek had to ensure that the speakers could successfully be broadcast into the virtual platform and were confident in how to present to ensure that the event was engaging and seamless in production. The live event would comprise 17 event sessions including 4 different key event themes that attendees could choose from to give them a customised experience that would benefit them most. The platform also had to include branded exhibitor pages for attendees to engage 1:1 with sponsors and be able to conduct live Q&A with speakers. 

Wanting a high-end production, Sleek advised to stream the speakers into the event platform via a production studio. The reason for this was to improve the quality of the production, add additional branding to the stream but also to have more control of the speakers audio quality. 

Prior to the event, Sleek ran 5 days of rehearsals with our client’s team and speakers. This included 2 x full rehearsals with each speaker to ensure they were familiar with best practices when virtually presenting to help prevent virtual fatigue, event timings, how their content would be presented, how to interact with attendees on the platform but also scenario planning in case connections were lost or the worst-case scenario happened and the platform had a glitch. 

In the lead up to the event, Sleek managed the 12 sponsors for the event. Sponsor management included managing the communications between the client and event sponsors, collecting event collateral, invoicing, event platform rehearsals and supporting sponsors with all questions they had about the event.

 

The Results

Sleek successfully produced the virtual EMEA Forum and helped our client achieve their event objectives!

The event was able to engage the audience, provide valuable content to their community, establish our tech client as a leader in their field and achieve an exceptional ROI.

The client was able to achieve over 2,000 registrations and have over 600 live attendees on the day - smashing their goals!

The live production of the event was produced seamlessly with Sleek managing the broadcasting and event platform suppliers along with the running order and show caller on the day. All event sessions were able to broadcast live successfully and the virtual event platform created an engaging environment for attendees. 

Post-event Sleek’s event experts finalised the content editing to create on-demand content for those attendees who were unable to attend the live event.
