Project Background
After a year of growth, and product developments, our tech client wanted to gather their key customers and stakeholders and create an event that would have them hear from top minds and influencers in their industry to help set up their success in 2022 and beyond.
Partnering with Sleek for expertise in virtual events, global logistics and event management, the decision was made to move the event from a hybrid experience to a virtual event after the uncertainty of travel for speakers and attendees.
Wanting to ensure that the event positioned them as the industry leaders they are and bring to life tech innovation with the virtual event format.
The Sleek Approach
Given a 3-month turnaround time to transform a hybrid event into an engaging virtual event, Sleek worked hard to implement innovative and unique tech solutions.
With both delegates and speakers attending from all over the world, great consideration had to be given as to how the event would run with different time zones in a ‘live’ virtual environment with speakers doing event sessions in real time.
An important feature of the hybrid concept that needed to be transitioned over to the virtual format was the concept of a stage. Without being able to get all the speakers into one country to put them in a studio for the event, Sleek was able to implement an innovative tech solution that gave the viewers the impression that all speakers were presenting off the same event stage.
Sleek had the virtual platform built with a stage and each main speaker and moderator was then sent a green screen that when set up would enable them to ‘enter’ the main stage of the virtual event platform.
Knowing that it was essential for all speakers to understand how the technology worked to make their sessions and transitions seamless and engaging, Sleek held and organised both training and rehearsals for all speakers and moderators. Coordinating this with different time zones, across 8 event sessions in different formats such as keynotes and panels and with over 20 speakers – this was no easy task!
Branding and the design of the event platform was key getting our clients colours, logos and images implemented but also the layout of the platform for ease of use, along with uploading and organising speaker and sponsor profile pages.
The Sleek team worked closely with the clients internal team to ensure that close deadlines were met and logistics were organised to the close timelines.
To add a further personalised touch, Sleek organised attendee gifts to be sent around the world to delegate homes.
The Results
The event was a huge success and brought together ecosystem leaders to address the latest last mile trends around customer innovation, sustainability and network connectivity. Expecting only 100 attendees, the event exceeded that expectation and brought together over 200 attendees!
The virtual event platform with the virtual stage was seamless, beaming in speakers from around the world including Boston and Tel Aviv!
To keep attendees engaged, the event format switched between individual speakers to panels and awards, where attendees could ask speakers questions and engage in a live event format. Attendees enjoyed hearing from industry leaders such as Guy Bloch, CEO of Bringg, Alex Drinker, Global Head, Retail Industry Advisors, Salesforce, Jarrett Streebin, CEO Easypost, Benjamin Gordon, Managing Partner and CEO, Cambridge Capital and BGSA and more!
Following the event, Sleek had a post event showreel produced to be sent to all attendees to keep the event and the tech company front of mind. The nature of this allowed for on-demand content to remain online for attendees to catch up or rewatch any of the event sessions!
